Newsletters – the role in Media

People love to find out about other people – especially celebrities. Your business may not have a celebrity, but you can catapult one of your staff to celebrity status and tell everyone about them. OK… so not everyone wants to hear what you did at the pub last week, however a newsletter from your business to your clients provides a great opportunity to tell them about new staff, new products, new services, etc. Whether sending a newsletter to the public or other industry colleagues, they may well find this information helpful and therefore more likely to keep it… and keep your business name on the tip of their tongues.

Newsletters can be either printed or electronic (e-Newsletter). Printed format allows images and information to the collated in a fashion that you like and posted (or handed) to your customers, colleagues and anyone else you can think of. E-Newsletters are formatted for electronic distribution via email (or on the website) and does not cost anything to post. It does mean your clients need emails.

Newsletters can be personalised (from the owner to the reader about personal family things) or may be more business-like (this is our service, this is what we are working on, etc). What you put in the newsletter is for your business to decide. However, images are important.

With e-Newsletters, it is worth noting that some internet hosting providers (e.g. hotmail, yahoo, bigpond, etc.) may spam and prevent it from ever reaching the intended recipient. E-newsletters based on HTML coding are more likely to be spammed compared to others created with plain text.

Likewise sending out a bulk batch of 100 emails at once is more likely to be regarded as spam and therefore dumped by the hosting service. If your email database grows to a few hundred, invest in using a third-party email hosting provider.

Tips for Newsletter Media
• Keep it informative, short and with a personal touch – let your readers get to know you.
• Disguise an advertisement in the form of information (ie. ‘info-merical’) so that readers take note of your advert.
• Do not over-push any advertisements as this will be frowned upon by readers.
• Newsletters (printed or electronic) are not suitable for all products and services…test it, but if it does not work, move onto alternative media.

Hidden expenses?
Additional expenses you need to be aware of are:
- graphic layout and content for the newsletter. Note: get the professionals to do it if staff are not competent in the skill.
- with e-Newsletters watch your usage quota if you access email based on bandwidth or via your mobile phone.
- printed newsletters should be professionally printed… do not use your office machine.
- fees for printing and/or third-party email hosting company.
